Maintenance Documment for tracking the serving of my two bikes?

Hi Gang,

I was going to create an excel sheet to track the scheduled maintenance on my two bikes..but then I thought I would ask the group , just in case someone had already created a good one..

There's really nothing much to create, you need 3 columns per bike..



Keep a physical folder of all receipts (accessories, parts, oil, filters, etc.) and/or scan all receipts and store them digitally.

I do a document very similar to yours but I have the latest date on the top line.

Had considered but couldn't find a reason. A document functions very well.

As I mentioned to Gobear when sending him a copy of my XLS, the US and Euro/World versions differ in distances between oil changes and other events. These are for adapting to your need. For example, I do my oil changes and checks on the 5,000 mile marks for all my vehicles, just because it's a safe value and I know where I am every time I look at the odometer.


Another handy thing to insert in the mx tasks are the torque values. For example, in the oil change task, mine has the torque value for the plugs.

I just use an excel spreadsheet with a different tab for each vehicle. I have things classified in the first column as "service", "repair", "tires", and "farkles". Everything just gets recorded in chronological order in the second column I keep the sheet in drop box so I can access and update it from any of my devices. Third column is the mileage and the fourth is a description of what was done. I use a 5th column to make comments or keep track of sources, i.e. hyperlinks, etc. for parts.

I was able to print and offer such a sheet to the buyer of my last bike which really helped the sale.

Mine is a XLS spreadsheet too, and IO also use separate tabs for the various vehicles.

Down the first column (A) for each vehicle are the mx tasks, as called for by the manufacturer. It's into those cells that I add torques and any related notes, such as how many cc's of oil to use.

Each of the columns to the right have a header which shows Date/Miles.

If I add a farkle, I just add a cell for it at the bottom of Column A, then enter a date in the right column.

I maintain five bikes of my own, one of for a friend, an ATV and two tractors. I keep a book with hand written notes on what I've done and also keep a record on a dry erase board in my shop. Having it displayed on the wall allows for easy checking of what needs to be done. The written records are more detailed. My maintenance tends to be based as much upon the seasons as it does on mileage. I try to do all the time driven and time consuming tasks in the winter and limit my work to oil and tire changes during the riding season. I have some spreadsheets of the maintenance schedules for some of the bikes posted around the shop as well.

You may want to consider adding warranty information too, i.e. crash bars (1 year), luggage (lifetime), aux lights (lifetime), heated gear (lifetime). This way if I have an issue with anything, I quickly know the warranty info for that product.
